The following information is key to running successful clubs. Please ensure we have all required information as it can be difficult to make changes later in the process.

Venue – we require a classroom with chairs and tables/desks. We ask that clubs are not located in drama/music areas or large open spaces. Access to a corridor is ideal for testing completed moving models.
Please note that we cannot be held responsible for refunding parents when sessions are cancelled due to events of which we are not made aware or are beyond our control e.g. school closures.
STEMKids will provide customised flyers to the school for distribution to the relevant key stage families. We ask that leaflets are distributed as soon as possible to allow bookings to start.
STEMKids will provide a short powerpoint presentation to be shown to the relevant key stage children in school. Please try to show this to the children on the same day as the flyers are distributed. We are unable to provide promotional assemblies.
STEMKids will set up secure online booking provision for the club(s).
STEMKids will provide full online and telephone support for all parental queries regarding the club(s).
STEMKids will provide the school with log in details for accessing our online school information area. This includes our club risk assessments; safety data sheets; policies covering first aid and safeguarding aa well as our public liability insurance certificate.
STEMKids will review bookings and alert the school if we feel that the club is not likely to reach minimum numbers required to run the club. We require at least 12 bookings for each club. There is no cost to the school in the event that bookings do not reach the minimum required.
STEMKids will contact the school if a club fills very quickly and there is a waiting list which indicates that a repeat club would be popular. The maximum number of children permitted for a club is 20 children.
STEMKids will provide information regarding the presenter – photo ID and a digital copy of their Enhanced DBS certificate.
STEMKids will email the school with a register of children attending the club. This will be done on an earlier day if the club is full, but on the day if there are spaces available. This is because it is usual for parents to book at the last minute and we want the register to be as accurate as possible to avoid any children being turned away. In the event that a parent / child tells you that they have booked, but the name is not on the register we ask that you contact us to confirm details.
STEMKids will contact the school to discuss any SEN or specific requirements highlighted on the register by a parent. We would ask that the school work with us to enable all children to have access to the club. We are happy to allow a parent or carer to attend the sessions, but this can only be permitted if they have an appropriate Enhanced DBS certificate or if the school emails us granting their permission. We would also ask that the school contact us in the event that a child with significant needs is registered on the club, but the person booking has not included any information with the booking and is therefore not included on our register.
The presenter attends the school in plenty of time to complete any registration required at the school. We ask that presenters are advised of school arrangements for first aid, fire evacuation and other safety routines for the building. We also ask that presenter are told about any behaviour management policies that may be relevant to the club.
Every school is different and so it is important that presenters are made aware of your requirements if a child asks to use the toilet during a club session. We would also ask that the usual dismissal procedure is discussed e.g. do parents collect directly from the club venue, are children brought to a central area for collection by parents or do school staff dismiss the children?
STEMKids will send feedback request forms out to schools and parents. We value the time spent completing these forms and all information provided is used to help develop improvements in the projects and all aspects of the clubs.
